The Beginning

In May 2025, the founders of Tide360 approached us at Agicent with a challenge that instantly caught our attention: “What if a business could hire AI employees—specialized, reliable, and always available—to handle executive, financial, and operational work?”

It wasn’t just another SaaS platform they wanted. It was the idea of creating a Business Operating System (BOS) where each AI agent would act like a member of the team—an executive secretary, a financial analyst, a performance trainer, and more.

At Agicent, we’ve been an app development company since 2010, and since 2022, we’ve been investing heavily in AI, building in-house engineering talent, and delivering AI-powered solutions across industries. So when Tide360 came to us with this ambitious vision, we knew this was more than just a project. It was a chance to push the boundaries of how AI can operate inside organizations.

Project Opportunity & Our Solutions

When Tide360 approached us, several key challenges stood in the way:

  • Ambitious scope & multiple agents: They wanted AI agents such as an Executive Secretary (Charlotte), Financial Operations (Ethan), Performance Trainer (Alex), Voice AI agent, etc.
  • Integrations & architecture: A platform that ties together CRM, scheduling, financial dashboards, workflow automation, voice, long/short-term memory, etc.
  • Scalability & future expansion: Must support new agents, new industries, multi-CRM, evolving AI capabilities, long-term memory, and conversational commands.
  • Reliability & human feel: The system must work seamlessly, with human-like understanding, prompt responses, and high trust.

Our Solution

We approached Tide360’s challenge as a chance to merge our strengths in app development and AI innovation.

  • Discovery & Planning: Through workshops with Tide360’s leadership, we mapped out every role the AI agents would play and defined workflows across scheduling, finance, performance management, and communication.
  • AI Agent Development: We engineered the first set of specialized AI employees—Charlotte, Ethan, and Alex (detailed below)—each built to take ownership of critical business functions.
  • Technology Stack & Architecture: To make the system robust, modular, and future-ready, we used:
    • Frontend: React
    • Backend: Laravel + MySQL
    • Workflow automation: n8n
    • Conversational AI: BotPress
    • CRM integration: GoHighLevel (initially), with plans for HubSpot, Salesforce, etc.
    • Designed modular and microservices where needed to allow adding new agents without disrupting older ones.
  • CRM & Voice Integration: The system launched with GoHighLevel CRM integration, while we architected it to support HubSpot and Salesforce in the future. We also developed a Voice AI Agent capable of handling calls, capturing details, and reporting instantly.
  • UX / Interface / Admin tools: We built a user interface that was clean, intuitive, and an admin console so Tide360’s internal team could manage agents, see performance, and adjust workflows.
  • Quality / Testing / Iterations: Frequent sprint cycles; continuous feedback; refining agents’ behaviors; ensuring reliability and reducing errors; focus on human-friendly phrasing.
  • Future-Ready Design: From the start, we built Tide360 to evolve with features like long-term adaptive memory, conversational task execution, and industry-specific AI knowledge bases.

Ethan is all about numbers, clarity, and financial safety nets.

  • He handles profit and loss calculations with precision.
  • Automates cash flow forecasts and keeps budgets on track.
  • Creates real-time dashboards so leaders can see the financial health of the business instantly.
  • Most importantly, he flags risks before they become costly mistakes.Ethan is the financial watchdog every business wishes they had—always on, always sharp, and always proactive.

  • He designs 90-day performance sprints that help teams hit their goals step by step.

  • Works with short-term memory for context and integrates directly with CRM tools like GoHighLevel.
